Intake Specialist
Neighbors Together is currently seeking an Intake Specialist who will be responsible for supporting the surrounding community by initiating the case management process through answering calls, voicemails, and emails, and directing the requesting party to the appropriate Programs team member.
This person will support the Programs and Case Management teams through administrative support and customer service focused initiatives.
Essential Duties and Responsibilities:
- Provide support to the local community by receiving and responding to a variety of requests for information and resources offered by Neighbors Togethers and its affiliates
- Help neighbors seeking assistance by completing an intake questionnaire and initiating the process of matching people with a variety of programs offered by Neighbors Together and its affiliates
- Answer, screen, and forward phone calls to the appropriate department or person within the organization
- Review and reply to a high volume of voicemails and emails daily, responding to or forwarding messages and emails to appropriate staff members in a timely manner
- Perform data entry for program and demographic specific information into a variety of platforms including databases, spreadsheets, and the Charity Tracker software
- Act in a support role to the entire Programs Team by creating case files and/or other forms and reports as needed, supporting the volunteer lines at the Neighbors Together location, performing registration in the dining room and other events, and aid in the support of the Programs Teams’ calendars as applicable
- Act as a backup receptionist, checking in guests to the Neighbors Together office and ensuring comfortability and prompt response to inquiries while guests are in Neighbors Together’s office

- Excellent verbal and written communication experience, interpersonal and customer service skills, a focus on staying organized, and strong attention to detail required
- Ability to function well in a high-paced and, at times, stressful environment
- Experience with handling confidential information in a secure manner
- High school diploma or equivalent required
- At least two years related experience highly preferred, but willing to train the right person with a demonstrated servant heart

Computer Equipment and Software
- Proficient with Microsoft Office Suite or related software required
- Experience with Charity Tracker or other non-profit databases preferred, but will train the right candidate on all software programs needed for success
Physical Demands
- Requires the ability to sit or stand for long periods of time, occasional stooping and reaching, and prolonged periods of time in front of a computer and phone system; May require lifting to 20 pounds; Requires a normal range of vision and hearing with or without accommodations; Position is not substantially exposed to adverse environmental conditions
- As a condition of employment, newly hired employees will be required to provide proof of their COVID-19 vaccination within 72 hours of their start date
Schedule and Other Information
- This position is starting as a Part-Time role of 20-25 hours per week but may have the ability to grow into a Full-Time role as the responsibilities grow
- Starting schedule will be Monday through Thursday at the Neighbors Together office from 8:30 am until 2:00 pm and the occasional Friday morning
- This position works within the Programs Team and reports to the Emergency Needs Program Manager
